Context of the Mission



Monde is a network of 16 humanitarian non-governmental organizations that provide health and medical help through domestic and international programs. The emphasis is on ensuring access to primary healthcare services, SRH/MCH services (including GBV), and psychological assistance. Furthermore, MdM advocates for universal access and rights to health care, particularly for marginalized communities and those affected by crises and wars.


MdM has been operating in Ethiopia since 1986, executing a wide range of activities, from long-term interventions to emergency response. MDM-Ge's current project in the Somali region aims to improve access to and quality of health care services (with a focus on sexual and reproductive health) and epidemic prevention (including Covid-19) for conflict and crisis-affected populations in three areas of the region (Nogob, Jerar, and Fafan). Women and girls' needs will be prioritized, with improved access to SRH services, including GBV. Nutrition and water, sanitation, and hygiene (WASH) are incorporated into this multi-sectoral strategy, which is carried out by the local group OWDA.



Working relationships

The Administrative & Liaison Assistant reports directly to the Human Resources Manager and is in charge of the day-to-day operations of the Administrative and Liaison tasks in the HR department. He or she will be a team player, commercially driven, energetic and enthusiastic about motivating and engaging people, and have a high degree of honesty and responsibility.



The Administrative & Liaison Assistant will also be responsible for ensuring that the current staff's needs are met in terms of flight booking and hotel accommodation, office management in collaboration with Logistics department management, ensuring staff insurance, guest house management, pension administration, processing work, residence, and entry permits for expatriate staff, and sending them quickly to the HR manager. The Administrative & Liaison Assistant will be situated in Addis, reporting directly to the HR manager and supporting the field offices as needed.

Administration and Liaison
When requested, represent MdM Germany at the federal and regional levels as needed (such as ACSO, MoH, MoF, Customs), partners, INGOs, and other organizations by ensuring excellent coordination, partnerships, and proper information sharing.

Assists with visa, employment, and entrance permission applications for Ärzte der Welt's expatriate staff and family in accompanying jobs.

  • Support guest house management in the country office.
  • Facilitate flight bookings for personnel and visitors as needed.
  • Facilitate hotel accommodations for personnel and trainings.
  • He/she helps the HR manager with performance management and training plan consolidation.

He/she assists the HR manager with the execution of all policies and the Code of Conduct, including ensuring accountability mechanisms are functioning.

  • Prepares and sends monthly, quarterly, and yearly performance reports to the HR Manager.
  • Ensures that all employees receive timely insurance and pension cards as needed.
  • Manages the filing, storage, and confidentiality of human resource documents.
  • Follow up and manage the acquisition of things for the HR department.

Coordinate office procedures.



Performs any additional tasks given by the HR Manager.



A bachelor's degree in business administration, human resource management, or equivalent from a recognized university.

At least one year of work experience in a similar INGO environment as Administrative Assistant, Liaison Office/Assistant, or related jobs.

·       Fluent in written and spoken Amharic and English.

 

·       Outstanding communication (verbal and written), organizational, and interpersonal abilities.

·       Ability to function well in a high-activity, fast-paced setting.

 

·       Quick response time to employee inquiries.

 

·       Ability to handle secret information and delicate circumstances with care.
